Anyone have any experience with Outlook rules?

I am trying to set up a rule that moves sent messages from my Sent Mail folder to a personal folder.

My first problem is that it will copy the message, but not actually move it. I have to send a lot of files, so my mailbox on the server gets full if I don't stay on top of this, which is why I'm trying to automate it in the first place. I could live with a copy, but a move would be easier.

My second problem is that I can't get it to exclude replies or fwd's. I put in an exception to not move (well, copy- see the first problem above) messages that had "RE:" or "FWD:" in the subject, but it didn't work when I tested it. My replies still went to the specified folder. I only need to track the original message.

And yes, I was starting the rule from scratch and not using their templates.

    Any help would be appreciated.

I wouldn't use it if it were up to me but that's how they have our email set up at work.

I use rules to auto filter incoming messages into different folders. For what you are looking for I think you will have to get creative. Actually after clicking around I see the problems you have and dont see an obvious soltution. I would make sure you do upper and lower case on the RE and FWD, Sometimes its re, Re or RE, etc. That should exclude the forwards and replies. Not sure about autodeleting form sent but that is a relatively simple thing to do, click sent folder, cntrl -A delete. Sorry I cant be of more help.

Re: Anyone have any experience with Outlook rules?

You are likely trying to use a server side rule and asking it to move files to a personal folder which is a directory on your local machine. You will need to use a client side rule to do this. Also remember that your personal folder will not be backed up with the exchange server like your sent mail folder will.

If you are sending files to the exchange organization they will not be deleted from the exchange server when you move them from your sent mail folder anyway. That is the sad truth of it. They will not use up any more disk space on the server. Exchange does this because if you send it to 100 people it doesn't want to take up 100 times the disk space. Unfortunately, it will increase the size of your disk quota allotment. If your job requires you to keep an accessible record you might want to speak with the IT people about a solution for you. They pretty much can give you a larger disk quota without a lot of effect on them.

Another idea would be to archive. You can drop the archive onto a network share that is backed up with network resources....

It is a server-side rule, but I can't seem to find the option. Outlook simply decides if it is client-side or server-side for me at the end of the rule creation process.

I just tried it because I was curious. I got it to work, well copy not move, unless it had RE: or FW: in the subject. I used uppercase and put the Colon. Hopefully it will workout for you.

This brings back old old memories. I tried this years and years ago. I guess it's the same now as then. You can only create a copy, not move the message.

I tried it with "Re" "RE" and "RE:" with no luck.

yeah it has a set of rules it uses to determine. Look into those rules and build a client side rule. Talk to the IT guys.
